Executive Assistant

This is a Contract position in Ottawa, ON posted June 30, 2021.

Position Overview:

TELUS Government and Regulatory Affairs is seeking an experienced Executive Assistant to provide professional, confidential executive support to two Vice Presidents in Ottawa, in addition to providing assistance to the broader Government and Regulatory Affairs team.

You are a very strong organizer and communicator, a proactive individual who thrives in a fast-paced, technical environment. You are a team player and you work well and enthusiastically with a wide variety of people at all levels of management. You are a resourceful self-starter and have a customer-oriented mindset.


  • Complete a broad variety of administrative tasks that facilitate the VPs’ ability to effectively lead their departments, including:

  • managing fluctuating calendars and scheduling/rescheduling meetings as required

  • working closely with the VPs to keep them well informed of upcoming commitments and responsibilities

  • collecting and preparing information for meetings with staff and outside parties

  • drafting and proof-reading executive level email correspondence on behalf of the VPs

  • efficiently onboarding new team members and providing orientation

  • creating Purchase Orders and process legal and consulting invoices

  • managing budget reporting and tracking on a monthly basis

Additionally, you will be:

  • supporting other EAs within your business unit (covering holidays, assisting with special projects, etc)

  • coordinating monthly team meetings, learning sessions, and retreats

  • completing corporate card expenses and mileage reports

  • maintaining contact and distribution lists

  • designing and producing complex documents, reports, and presentations

  • making travel and hotel arrangements

Required Knowledge, Skills & Abilities:

  • Strong interpersonal skills, and an ability to communicate in a professional manner with senior executive management, internal and external stakeholders (verbal and written)

  • Precise and effectively written emails; ability to edit correspondence and reports and to prepare materials for submission to governments and tribunals

  • Independence, judiciousness, discretion and diplomacy

  • Resourceful, with the ability to prioritize, multitask and meet deadlines with minimal supervision to meet the needs of internal and external clients

  • Willingness to work in a role that requires high degree of flexibility in terms of rapidly changing priorities

  • Strong organizational skills with the ability to pay close attention to detail while under tight timelines

  • Advanced knowledge of MS Outlook; multiple calendar management, comfortable dealing with multiple time zones, highly organized archiving skills

  • Advanced knowledge of Google Suite including Google Meet, Google Docs, Google Drive, Google Sheets, Google Chat

  • SAP knowledge and experience would be an asset

  • Be available outside of normal working hours to provide support to the executive on urgent matters, tight deadlines as required

Required Experience:

  • Minimum of 5 years of experience in a similar or equivalent role supporting one or multiple senior executives

  • Exposure to administrative support responsibilities in a senior management environment

  • Experience in legal and/or a government environment is an asset

  • Bilingualism is an asset

Required Professional Designation/Certification:

  • Post-secondary degree or diploma
